What we collect
— Account information: your email address when you sign up
— Property information: hotel name, address, contact details you enter
— Guest and booking data: names, phone numbers, email addresses, and stay details of your guests, as entered by you or submitted through your property's booking link
— Guest identity documents: photographs of ID cards or passports that your guests upload through the pre-arrival check-in form, or that your staff photograph at reception, together with the ID type and number, as your guest register requires. These are stored in a private, access-controlled store and are visible only to members of your property's team; they are never shown on any document a guest or a third party receives.
— Demo enquiries: email addresses submitted via the demo access form on our website
— Website pricing enquiries: hotel or property name, city, email, phone number and room-count band. We also record the marketing entry page, referral domain, campaign tags or ad click identifiers supplied by the link, whether pricing was viewed and whether a WhatsApp enquiry link was clicked. We store a keyed digest of the connection address to limit spam; the raw address is not stored in the sales pipeline.
Signing in with Google
If you choose "Continue with Google", Google shares your name, email address and profile picture with AtithiBook so that we can create or open your account. That is the only information we request from your Google Account — we do not request access to Gmail, Contacts, Drive, Calendar, or any other Google service. We use it solely to identify you and sign you in. We do not use it for advertising, we do not sell it, and we do not pass it to anyone other than the infrastructure providers listed under "Who we share it with" below, who store it on our behalf. You can withdraw AtithiBook's access at any time at myaccount.google.com/permissions. AtithiBook's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Why we collect it

— To send essential service communications (booking notifications, security alerts)
— To improve the service
— To open requested pricing, record interest in AtithiBook, understand which marketing pages or campaigns brought an enquiry, and manage the enquiry in our private sales pipeline. Submitting the pricing form does not create an account, subscribe you to messages, or send an automatic email, SMS or WhatsApp message.
How it is stored
All data is stored on Supabase infrastructure hosted in Mumbai, India. Data is encrypted in transit (TLS) and at rest.
Who we share it with
We do not sell personal data to third parties. We share data only:
— With Supabase (our cloud database provider) to store and serve it
— With OTA channel manager partners (when you enable OTA sync) solely to push room availability and receive incoming booking notifications
— As required by applicable law or a valid legal process
How long we keep it
We retain your data for as long as your account is active. You may request deletion at any time by contacting us (see below). Website pricing enquiry records are retained while relevant to the enquiry; you can request their correction or deletion at hello@atithibook.com. Guest booking records may be retained for the period required under Indian tax law (typically 8 years).
Guest identity photos are not deleted automatically. They stay with the booking they belong to for as long as that booking record exists, so that your property can meet its guest-register and foreigner-reporting obligations. Every month AtithiBook lets your property download the previous month's guest register with the ID photos attached, and reminds you to do so. Your team can remove any individual photo from a booking at any time, and you may ask us to delete a property's photos in bulk. As the Data Fiduciary for your guests, you decide how long to keep the copies you download.
Your rights under the DPDP Act 2023
Under India's Digital Personal Data Protection Act 2023 you have the right to:
— Access the personal data we hold about you
— Correct inaccurate or incomplete data
— Request erasure of your data (subject to legal retention obligations)
— Nominate a person to exercise these rights on your behalf
— Raise a grievance with us or with the Data Protection Board of India

We acknowledge every grievance within 24 hours of receipt and aim to resolve it within 15 days. If you are not satisfied with our response, you may escalate to the Data Protection Board of India.
Your guests' data
You, as the hotelier, are the Data Fiduciary for the personal data of your guests. You are responsible for obtaining any necessary consent from your guests for the data you collect and process through AtithiBook. AtithiBook acts as a Data Processor and processes guest data only on your instruction.
Cookies
AtithiBook uses only essential session cookies required for authentication. The pricing page uses browser session storage to remember the marketing source and a pricing-only access receipt in the current tab; it does not store the contact form details there. We do not use advertising or third-party tracking cookies.
Changes to this Policy
We may update this Privacy Policy from time to time. We will notify you of material changes via email or an in-app notice. The "Last updated" date at the top of this page reflects the most recent revision.
